Booster Meeting Minutes

                   Discussion of Treasurer’s Report

                   Definition of and use of Student Accounts: Each band student has a financial “account.” Funds  are added to each account from payments to the CHS Bookstore, Tax Credit Donations designated for an individual student and earnings by the student or a family member from fundraising events such as Sodhexo (ASU Home Game concessions), Great Video Productions (ASU Graduation flyer distribution for video company). Funds are subtracted from the account for fees related to Band Camp, uniform cleaning, trips, etc. Invoices are mailed to parents as deemed necessary by the Executive Board.

Business:

 

Membership Dues: CHS Band Booster Membership Dues must be paid by the October general meeting in order for voting rights in the selection of next year’s Executive Board. Dues are $5.00 per person, payable in cash or by check to the Coronado Band Boosters.

 

T-Shirts: T-shirts are available for purchase from the Boosters. The red ‘Fiddler on the Roof’ 2008-2009 marching band shirt (just like the students have) cost $11.00. There is also a red or blue polo shirt with the Coronado crest. This shirt can be ordered and the cost is $22.50. See Doc Bennett or a Booster officer for details or ordering.

 

Nominating Committee: A new CHS Band Booster Executive Board will be elected at the November Booster meeting. Booster officers are nominated by a three person committee. One person on the committee is appointed by the current Executive Board, and two others are volunteers. Francine Porter has been selected to head the committee for the nomination of the 2009-2010 E- Board. Also serving will be Keith Martineau and Ella Bristow.

 

Minds in Motion: The CHS administration has asked us for donations for the annual Mind in Motion academic award event to take place Monday, September 15, 2008. As in past years, the Booster organization will donate 2 $100.00 gift certificates to Balfor. This company sells school related items such as letter jackets, class rings, graduation announcements and caps and gowns. Many of the band students will be honored at this event. There will be no band practice on that night.

 

 

Fundraisers:

 

New Sponsors: The fundraising efforts of band “Aunt” Kay Wiese have generated two more donations. Spinners on the Green Disc Golf has donated $50.00 and Scottsdale Plumbing has donated $50.00. Discount Tire Corporation has given a verbal confirmation that they will donate $250.00. The names of all of the generous Dons Band Sponsors are listed on the website, www.donsband.org, and also will be displayed at home games and other events on a banner donated by Kay Wiese. Thank you Kay! Thank you to all of our sponsors!  The donations will make it possible for us to continue the “Tradition of Excellence!”

Fry’s cards: Fry’s grocery stores have a great fundraising opportunity that other booster groups have been very successful with. Fry’s sells re-chargeable gift cards that shoppers can use to purchase anything in the store. The card is linked with the Boosters and a percentage of every purchase goes to the Boosters. Nathan P has contacted Fry’s and is waiting for details which he will pass on. An explanation of the program and information will be posted on the website.

 

Sodhexo: The Boosters continue to work with Sodhexo, providing workers for the concession stands at ASU home football games. Student/parents earn $45.00 for their student account, Boosters earn $5.00 for each game. Sign up info is on the website. We still need 2 people for the Sept. 20 game and 2 for the Oct. 25 game. Report to ASU at 3:00 p.m. Dress code: white collared shirt with sleeves, tan pants and closed toed shoes. Contact Mlee Martineau at martineauclan@yahoo.com .

 

Disneyland Fundraiser: John Komlos has received confirmation that DisneyLand will donate 2 one day admission tickets for our December Fundraising Event. Along with the park admission, the Miller’s have donated a Hilton Hotel stay, David Wiese has secured roundtrip Super Shuttle transportation. We are soliciting airfare vouchers. We will solicit other prize donations.  We have asked for volunteers to work on the December event: Francine Porter, John Komlos, Alicia Smith, James Mitchell, Jeanne Kuczyk and Melinda Contreras volunteered. Need to plan by next meeting. Will share emails and phone numbers and meet or call in the next 2 weeks.

 

Student Tax Credit Donation Prizes: We discussed offering a prize for students raising Tax Credit Donations for the band. Only $569.00 remains in the band’s Tax Credit account. Doc Bennett has been trying to juggle funds to pay for entry fees for competitions, transportation, etc., and money is needed. If every student brought in $400.00 in Tax Credit Donations, the band would have $24,000.00! To encourage the students, John Komlos offered to donate a $100.00 Westcor Mall Gift Card . Students would be asked to solicit tax credit donation from any eligible AZ taxpayer who designates ‘Coronado Band’ on donation form. For each $100.00 designated for the band, the student responsible would earn 1 entry into the contest. If the band secures more that $1000.00 in donations, another gift card award will be added. A drawing will take place on the last day of school before Thanksgiving break to award the prize(s). Kathy H moved to accept the proposal. Ella B seconded. The motion passed. Student fees: Doc brought up the fact that fees charge to the CHS band students are very small compared to other schools in the district and in other areas of the Valley. He suggested increasing Booster membership fees, Marching Band fees and fees for other band classes. We discussed the increasing costs of travel, music, staff and supplies. Fees for band programs were compared with sports/athletic department fees. Other large marching band groups require $900 to $1200 per year to participate! If the Boosters and students cannot raise funds or secure Tax Credit Donations, fees will need to be charged if the band is to continue performing.

 

Uniform/Awards fees: Last year we began collecting a fee from each student of $50.00 per year to cover cost of uniform cleanings and awards given out at the end of the year Awards Banquet. Francine P moved that we collect this fee again this year. Keith M seconded. The motion passed.

 

Arts in Music: Band parent Martin Potzler has joined us this year. His son Danny is new to the band, but went to Saguaro HS last year. Martin has been involved in fundraising for Saguaro through Arts in Music, a school instrument rental company. Martin has been asked to take over management of volunteers for the company. Instrument rental sessions are held at elementary and middle schools once or twice a year to provide instruments for new band students. AIM pays parents in the volunteer group $35.00 to sign up and distribute instruments. Each session is approx. 2 ½ hours on a week night. 8 to 10 parent volunteers are needed per session. Bilingual volunteers are paid DOUBLE the rate ($70.00!). Money is paid into the student account. A 30 min training session is required. Students can work but must be 18 to fill out instrument contracts, but students can help in other areas. We agreed that we would like to do this, so Martin will work toward getting us approved.

 

Successful fundraising: Alex from Desert Mountain HS Band Boosters shared his group’s best money making ideas. Suggestions:

KUDZU.com link on our website: “Passive” fundraising”~ website visitors review local businesses and earn 75 cents per review.

 

Fundraising dinner called “Evening of Music” where students and/or parents play music during dinner or hors d’vors. Combined with Silent Auction. Patrons paid $15.00 per ticket and students were free. Had 50/50 Raffle.

 

Water and baked goods sale at concerts~ Paradise Bakery will donate leftover baked goods!

 

Sell popcorn and water in the stands at home games.

 

Barnes and Noble gift wrap station for donations during the holidays. Store provides table and gift wrap. Bring students to play holiday music and double or triple the donations!

 

Have a car raffle. If not enough tickets are sold, it becomes a 50/50 cash raffle.

Sale of Generator/Balloon Machine :  Details of the sale of our generator and a balloon machine have been posted on Craig’s List. There have been no legitimate offers.

 

Community Partners:  Although the chain no longer requires shopper’s cards, Albertson’s will continue to offer the Community Partners fundraiser. There are new cards which are available from the Band Boosters or from Doc Bennett. Rewards earned from store purchases go to the Band Boosters.
