Booster Meeting Minutes

November 13, 2007

Announcements:  Congratulations to Doc and the Band for their outstanding performance at the State Marching Festival. The band received a rating of Superior and were awarded all 5 captions! Great job! Their score was 72.3. Percussion scored an unbelievable 81 points, which qualifies as a Superior rating all the way up to Division I. We are very proud of everyone!

Treasurer’s Report:

There was no Treasurer’s report.

 

Fundraisers:

 

Coupon Books:  There are 250 coupon books available. The expiration date for the coupons is 3/31/08. Francine P. suggested we decrease the price to $10.00. Boosters could sell them or students could help. Doc will bring it up at BACH meeting. Possible sale sites include grocery store, carwash or door to door. Boosters are willing to let students have 100% of the profits.

 

Sodexo: The Boosters are still working the ASU football concessions. Students and their families earn money for their student accounts by helping serve food at ASU home football games. We have 6-9 people confirmed to work the Thanksgiving Day game. We will also help at the Insight Bowl on 12/31/07. A minimum of 6 people are needed per game. Check in time is usually 4 pm. Workers must wear khaki pants, a white shirt and closed-toe shoes. For information or to sign up, contact Becky Ingram at 480-947-1820.

 

Home Football Concessions: For Coronado home football game concessions, we are working with the PTO and the Football Boosters. Each group netted over $300.00 per game. More money was earned in past years, but the negative aspect was offset by good working relationships, having a new concession stand near the bathrooms and the sharing of expenses. We could use more help setting up before the game; there was always help in cleaning up after. For the last game, there was no help from the Football boosters but, because of our agreement, they will share in the proceeds.

 

Community Partners:  Although the chain no longer requires shopper’s cards, Albertson’s will continue to offer the Community Partners fundraiser. There are new cards which are available from the Band Boosters or from Doc Bennett. Rewards earned from store purchases go to the Band Boosters.

 

Scottsdale Fall Festival: Thanks to all the volunteers who worked at Scottsdale’s Fall Festival on October 31. A net profit of $430.00 to $450.00 was made selling popcorn and cotton candy.

 

Other Fundraisers: Jamba Juice has a fundraiser available. The Boosters would earn 20% of sales. This is a possibility for next year’s concessions. Also suggested was Chic-Fil-A. Luminaria sales were also discussed. BACH has expressed the desire to this as well. Kits would need to be made containing paper bags, candles and instructions. Pre-sales are recommended. Nathan P will investigate and discussed territory boundaries with Tontalea PTO who sells them as well.

 

Business:

 

Polo Shirts: An order was placed for 37 polo shirts. Nine of the shirts are for the staff and paid for by the Boosters. Almost all of the shirts have been paid for. No word on a delivery date.

 

Banderama: This year’s event was successful, and there was lots of pizza left! We did not ask students to pay this year, we treated them with funds set aside for a proposed ASU function. There was a problem in that the Middle School parents were not told that they would have to pay to get into the game. Flyers were sent home, but some parents were unprepared.

 

 

Invoices to parents: We are waiting for details from the Treasurer of outstanding balances in student accounts. Invoices are to be issued to parents in an effort to collect these funds.

 

Truck: We will need a small truck to move equipment and music stands to the site of the Winter Concert on December 13. Bob I. has reserved a 16 foot truck.

 

Generator: The generator used for years to power the lights and equipment for concessions in no longer needed with the new school concession stand. The city Fall Festival has their own power as well. Bob I. will look into selling it. It is a 30 amp unit on a trailer. It cost $1500.00 about 10 years ago.

 

Other: Doc Bennett would like to provide compensation in the amount of $500.00 each to Ruthie Krause and Stevie Hagel for their work with the band this year. Both went to camp and worked many hours in rehearsals and at performances.

 

Other: There has been concern expressed by members that bills are not being paid. Sun Devil Trophy, Hayden School Supply and some concession bills have not been paid. Members are concerned about late payments and poor recordkeeping. Discussed changing bylaws to add a 2nd person to the Board to help the Treasurer. Kathy H. agrees to remain on the ballot, but said she does want help. Bob I. read the bylaws to see if we could allow co-Treasurer position. It was determined that a Member-at-Large could be appointed to this position.
